Purchasing Administrator

We are currently seeking a purchasing administrator to join a well-established business in the South Hams district of Devon on a permanent basis. It is a busy and varied role, in which the successful candidate will be required to manage their own workload but still have a true team player attitude. This role offers a work pattern of 08.30 to 16.30 Monday-Friday (16:00 finish on Friday) during term time only (41 weeks per annum), including working non-pupil days and two weeks in the school holidays.

Duties of the Purchasing Administrator include:

  • Continual review of suppliers - best value, price and product comparisons, research alternatives
  • Identifying suppliers of product/service types in order to target and include in tendering and quotation programmes
  • Gather pricing information from suppliers to analyse and compare and seek alternative product options
  • Drafting and checking contracts
  • Establish stock availability and lead times of potential suppliers to assess suitability and request the use of trial products
  • Produce cost/product comparison reports
  • Develop and maintain a procurement database and analyse price variants and purchasing trends
  • Track procurement savings and produce internal reporting to the board
  • Develop and maintain internal purchasing stock catalogue
  • Collation and review of contracts, rebate structures and agreements with occasional assistance with drafting tender documents and tender coordination
  • Receive and check incoming orders and identify any inaccuracies
  • Input orders on the school financial system
  • Booking CPD courses and liaising with course providers

Requirements of the Purchasing Administrator include:

  • Advanced IT skills, in particular MS Access
  • Strong attention to detail
  • Excellent interpersonal skills including a confident telephone manner
  • Hard working with a strong work ethic
  • A full UK driving license is required for this role along with access to a car as occasional visits to other sites may be required

The successful candidate will have a keen eye for detail and enjoy analysing data surrounding costings. Previous office based experience in procurement analysis is preferable, although not essential. Candidates are required to have GCSE English and Maths at minimum B grades with additional further education.
