Cathedral Appointments is looking for a highly experienced Personal Assistant to join our fantastic client who is one of the most well-respected charities in Devon. You will be supporting two directors with a variety of PA and administrative tasks within this diverse role, so you will need to be able to anticipate the requirements of the directors and work under your own initiative. The post holder will be involved in monitoring quality assurance so ideally you will have a knowledge of working within a heavily regulated environment and passion for supporting people during a time of great need.

This is initially a 3-month contract with the view to extend for the right candidate. The working hours have the potential for some flexibility, and the client would consider a 4-day working week for the right person.

PA to Directors (3-month FTC) responsibilities include...

  • Provide secretarial and administrative assistance to senior executives
  • Manage the director’s diaries and make subsequent arrangements including coordinating meetings, conferences and events
  • Organise travel arrangements, plan itineraries and organise hotel accommodation
  • Record annual leave accurately in the director’s calendars and find suitable senior cover
  • Manage incoming mail and follow up on required actions
  • Greet visitors and arrange suitable parking when needed
  • Make necessary arrangements for meetings including room bookings, hospitality, audio / visual support, checking minutes and following up outcomes and actions.
  • Manage the quality assurance recording system to monitor all incidents, accidents and near misses
  • Support the Director to prepare and produce reports and relevant 

PA to Directors (3-month FTC) requirements include...

  • Fast accurate typing of at least 50wpm, copy and audio
  • Competent with MS Office, Work, Excel, PowerPoint and email
  • Ability to communicate effectively and professionally across all platforms
  • Experience of taking minutes at a senior level
  • Experience of database entry and production of reports
  • Excellent organisational skills and ability to prioritise own work
  • Ability to remain calm when working with a changing workload
  • A knowledge of working in a healthcare setting is desirable
