Cathedral Appointments is recruiting for a Director Level PA to undertake a 12-month Maternity FTC for our Exeter based professional services client. My client business is customer centric, and the PA must demonstrate exceptional communication skills, and empathetic and warm nature combined with the utmost professionalism and tact at all times.

This is a varied and demanding PA role, and suitable candidates will have demonstrable previous experience in a similar role and at a similar level. The role will include administration, reporting and detailed record keeping within a highly regulated industry. Attention to detail, a versatile skill set, and flexible approach are all prerequisites for this position.

PA to Director (12-month FTC) responsibilities include...

Responsibilities of the PA to Director will include:

  • Managing the directors’ diary, organising external and internal meetings
  • Dealing with incoming calls, face to face enquiries, emails and post
  • Processing client business from start to finish ensuring that it is compliant and accurate, including financial transactions
  • Generating proposals for clients both online or over the telephone using suitability reports, printing all relevant documentation to accompany them
  • Chasing confirmations for new business and inputting the data accurately onto the system once received
  • Liaise with both 3rd party suppliers and clients to ensure that all complaints are dealt with in a timely manner
  • Run weekly reports to check on proposals, chasing suppliers where necessary 
  • Work closely with solicitors for legal cases, insuring that reports and valuations are sent out monthly
  • Prepare files ready for client meetings
  • Input client details onto the system accurately adding notes for important information
  • Ensure that emails are circulated regarding industry news and supplier updates
  • Scan all documents to the system for each client

Requirements for the PA to Director

  • Previous experience as a PA at senior level
  • A competent and efficient administrator able to work methodically and accurately
  • IT literate across MS Office and able to learn and use new systems with ease
  • Highly numerate, comfortable working with numbers and financial data
  • Warm and engaging, able to build rapport with clients and provide an excellent service
  • Organised, able to multi task and remain calm under pressure
  • A great team player with a positive and helpful manner
  • Experience within a regulated environment or financial services would be of particular interest

This is a fixed term contract role for 12 months, with a start date either late May or early June, so candidates must be available to start then and commit to the term of the contract. If you have the skills and are available, we would love to hear from you.
